CONTEST RULES

Clay Hill Farm’s Green Wedding Giveaway 2012 will be accepting nominations from October 2011 through January 30, 2012. Entries must be postmarked by January 28th or hand delivered by noon on January 30th to be considered. Couples may be nominated, or self-nominated, by submitting a one-page essay that tells the story of how the couple makes a difference in their everyday life and why they should win the Grand Prize Green Wedding Giveaway. Nomination entries must also include a picture of the couple that is relevant to their story. Nominees will then be contacted by Clay Hill Farm to verify their intent to be considered for the Grand Prize Green Wedding Giveaway. The couples who agree to be entered will then be asked to send in their answers to four follow-up questions for judges consideration. Three judges awards will be given out in addition to the Grand Prize wedding. All nominees and their nomination stories will be put up on the official contest website: www.greenweddinggiveaway.com. Public voting will commence on Wednesday, February 1st and end on Sunday, March 4, 2012 at 8pm. The Grand Prize winner and the judges’ awards will be announced on Sunday, March 4th at Clay Hill Farm. The Grand Prize wedding giveaway will be an all-inclusive daytime ceremony & Reception at Clay Hill Farm from 10:30-4:30pm on Sunday, July 8th, 2012. All nomination essays and entries must be uploaded to the official site, e-mailed to greenweddinggiveaway@gmail.com or mailed to Green Wedding Giveaway Contest, P.O. Box 73 Cape Neddick, Maine 03902, along with a photo of the couple relevant to the essay. All nominees seeking to be considered for the Grand Prize and Judges' awards, must submit their answers to the contest questions and creative representation postmarked by midnight on January 28, 2012 or hand delivered by noon on January 30, 2012.
SELECTION PROCESS

TCF, CORP dba Clay Hill Farm’s independent panel of judges for the contest will determine the selection of Grand Prize wedding winner and the winners of the three judges’ awards. The judges for the Green Wedding Giveaway are; Sarah & Jon Wilkinson, of Wilkinson Law Offices, Battista Remati of Remati Media, and Amy & Douglas Figueiredo, Grand Prize winners of Clay Hill Farm’s Green Wedding Giveaway 2011. Judges decisions are final and do not necessarily reflect the opinions of TCF Corp, dba Clay Hill Farm.
TCF, Corp. dba Clay Hill Farm will begin reviewing nominations and contacting nominees on a rolling basis as they are received. For the judges’ awards, entrants will be judged on creativity, inspirational messaging, originality, green relevance and Earth Day ideas. Entries will be judged on their merits including, but not limited to, how the couple's entry package and application materials fit the contest theme, their creativity, and their unique perspective. All decisions by the judges are final and not subject to review.

The contest winners and award recipients will be required as a condition of continued eligibility to complete to sign an Affidavit of Eligibility, Waiver of Liability and a Publicity Release. Additionally, entrants agree to provide information and material to be featured in the website profile pages which will include pictures, reaction posts and video blog posts as requested by TCF, Corp, dba Clay Hill Farm. To be eligible for the Grand Prize Green Wedding Giveaway, entrants must agree to be present for ALL pre-determined publicity dates, and must agree to be available for any and all spontaneous publicity appearances requested by Clay Hill Farm through the calendar year of 2012. TCF Corp, dba Clay Hill Farm assumes no responsibility for travel expenses, loss of wages or any other expense accrued to ensure attendance. If a nominee cannot attend a mandatory event in the contest calendar, they will be disqualified. 2012 Calendar requirements include, but are not limited to, March 9, April 22 & October 10, 2012. By entering the contest, couples understand that sponsor donations are the sole property of TCF, Corp, dab Clay Hill Farm, and when awarded, may be applied to a Clay Hill Farm event. A Grand Prize wedding and three judges’ awards will be given out in 2012.

THE CONTEST: Couples nominated to win the Green Wedding Giveaway 2012 will be contacted by Clay Hill Farm and asked if they wish to be considered for the Grand Prize Giveaway. If the couple agrees, they will be asked to submit an application form and answer 4 questions for the judges’ consideration. Three judges’ awards will be given out in addition to the Grand Prize. The Grand Prize winners will be determined by judges’ scores in four categories (50%) and public voting (50%). The 2012 campaign for public votes will commence on February 1, 2012 and continue through March 4, 2012. Votes will be cast online through the official contest website: www.greenweddinggiveaway.com. Votes sent by any other means will not be counted.
If the winning couple is disqualified or otherwise unable to fulfill the requirements asked of them, a second couple among the nominees, as determined by the judges, may receive the TCF, Corp. dba Clay Hill Farm’s Grand Prize.

PUBLIC VOTING: Ballots will only be available through the official www.greenweddinggiveaway.com website and will require an email confirmation. Voting is limited to one per person/email. Voters must “opt-in” to the email voting. Multiple votes will be voided. Any efforts or attempts to artificially inflate voting electronically, which violate the spirit of the contest will lead to the elimination of those votes from the totals counted. Decisions on the validity of submitted votes are the sole responsibility of TCF Corp, dba Clay Hill Farm management and all decisions are final. The following outlines the steps taken by Remati Media and to ensure e-mail authenticity. 1. Due to privacy laws all email addresses are logged into the system at the time of voting. 2. The email addresses once in the system are automatically tested for validity. If an email address is a DUPLICATE or INVALID it is then rejected from that list and placed onto a rejected list. This means we track every invalid address either generated by a person or in some cases a bot as well as keep the clean valid list under high scrutiny. 3. At the end of each voting day the emails logged are tested manually for validity through a secondary spam filter. Invalid email addresses are once again placed on the Invalid list and the daily tally of VALID Email addresses and VOTES are recorded for back up should the system ever go down. 4. At the end of each week the CTO of the agency that runs the email contest backend for us does a physical scan and what is called a "DATA SCRUB" wherein his team physically goes through the VAILID email list and fleshes out any duplicate or invalid addresses or any addresses they find that may be suspiciously in an ordered sequence such as 1234@abc.com. We do this because sometimes it is not prudent to leave scanning and filtering up to a single point technology solution. 5. Throughout the voting month, the registered VALID email addresses are used for "Newsletter email blasts" wherein another scrubbing takes place for validity by the email distribution firm Net Atlantic. 6. At the end of voting the CTO of the agency gets his team to once again physically scan the final list for any inconsistencies or invalid addresses. 7. The Final Tally is checked against the daily tally and the final email list is sent to Wilkinson Law Offices for secure safekeeping until the announcement.

Judging: The Grand Prize winner in the Green Wedding Giveaway 2012 will be determined by a final score that is made up of the average of overall ranking scores for 1. Creativity 2. Inspirational Messsaging 3. Originality 4. Green Relevance Eligibility Criteria

This opportunity is open to currently engaged couples that are legal residents of the US, each of who is at least 21 years old and each of who complies with all requirements set forth in these rules. Couples must be engaged to be eligible. This need not be the first marriage of either entrant. Both individuals must be able and willing to travel to York, Maine for the various interviews and events associated with this contest once the finalists/winners have been determined.

Each individual must have nothing in their background that, at the sole discretion of the TCF, Corp. dba Clay Hill Farm, could be considered detrimental to the TCF, Corp. dba Clay Hill Farm and the success of this promotion. Neither of the individuals entering this contest may be an elected official or currently running for any political office (local, state or federal).

Each applicant must be willing to sign an affidavit attesting to the truth of the facts in the application form and contest package and attesting that each applicant meets all the eligibility requirements.

Selected entrants must also be willing to be interviewed by telephone, and to appear in promotional materials produced by the TCF, Corp. dba Clay Hill Farm and to make themselves available to attend events and to engage in public appearances and in photo shoots, as needed by the TCF, Corp. dba Clay Hill Farm. Winning contestants who do not cooperate or obstruct the promotion of the contest will be automatically disqualified and all prizes will be revoked.

Entrants must agree that, if selected for the Grand Prizet, they are agreeing to have their wedding at Clay Hill Farm. The Grand Prize wedding ceremony & Reception at Clay Hill Farm in York Maine on Sunday, July 8th , 2012, from 10:30-4:30. The ceremony would be on-site at 11 am. The Grand Prize will include a complete wedding & Reception for up to 75 guests. Should the guest count exceed 75, Clay Hill Farm will bill for the additional guests according to Clay Hill Farm’s 2012 wedding prices. No credit will be issued for guest counts below 75. The Green Wedding Giveaway date is subject to change at the sole discretion of the TCF, Corp. dba Clay Hill Farm.

Entrants must agree to make themselves exclusively available to the TCF, Corp. dba Clay Hill Farm for publicity and promotion, and must agree that they will not allow interviews by other media outlets, including television, magazines, newspapers, radio, and internet without the consent of TCF, Corp. dba Clay Hill Farm, from the time they are announced through the time TCF, dba Clay Hill Farm releases them from media obligations. Entrants must agree that by accepting prizes generated through the Green Wedding Givaway 2012, they are agreeing to have their wedding at Clay Hill Farm. Prizes donated to the Green Wedding Giveaway 2012 are the property of TCF Corp, dba Clay Hill Farm, and can only be redeemed at Clay Hill Farm.
The Grand Prize winning couple, agree to allow photographs, video and audio recordings made of their ceremony and activities involved in the prize awards to be featured in promotional marketing materials of TCF Corp, dba Clay Hill Farm and contest sponsors. Prize-winners also agree to be featured on the CHF website and future marketing materials without limit or further compensation into the future. Prize-winners must be available for marketing follow-up after their wedding. Grand prize-winners must personally appear as hosts at Clay Hill Farm’s Earth Day event on April 22, 2011. Grand prize-winners must personally appear at Clay Hill Farm’s Fall Eco-Fest on Monday, October 10, 2011. The Grand Prize winners will be expected to maintain Clay Hill Farm’s wedding booth at the festival. The Grand Prize winners will be named as judges for the Green Wedding Giveaway 2013.

If at any point during the contest the TCF, Corp. dba Clay Hill Farm deems an entrant or finalist couple ineligible, the TCF, Corp. dba Clay Hill Farm, at its sole discretion, may disqualify that couple and select an alternate.

Disqualification

Couples may be disqualified by not complying with these rules or their inability to fulfill all of the requirements. If the winning couple is disqualified, they will become ineligible for prizes and a runner up will take their place. TCF, Corp. dba Clay Hill Farm reserves the right to interpret and apply the contest rules, including declaring disqualifications, at its sole discretion. All such decisions shall be final and not subject to further review or determination.

MULTIPLE ENTRIES RECEIVED FROM ANY PERSONS WILL VOID ALL SUCH ADDITIONAL ENTRIES. Entries that are incomplete, illegible, postage due or corrupted are void and will not be accepted. If any entrant package becomes ineligible during the Contest, he or she may be disqualified.

All entries, including application forms, videos and photos, become the property of the TCF, Corp. dba Clay Hill Farm and will not be acknowledged or returned. TCF, Corp. dba Clay Hill Farm shall retain full intellectual property ownership rights to all materials submitted, and TCF, Corp. dba Clay Hill Farm may utilize and publish the submitted materials at its discretion.

Participants in the contest will be automatically disqualified for submissions of material that violate copyright law and any fraudulent representations. Participants agree to indemnify and hold harmless from any claims or damages arising out of violations of copyright or other intellectual property rights in the Participant’s submission. Spam voting or any other computer manipulation of voting will result in automatic disqualification. All disqualification decisions are the sole judgment of the panel of judges selected by TCF, Corp. dba Clay Hill Farm and are final.

TCF, Corp. dba Clay Hill Farm is not responsible for telecommunications, network, electronic, technical or computer failures of any kind, for inaccurate transcription of entry information, for errors in any promotional or marketing materials, for errors in these rules, for any human or electronic error, including but not limited to the administration of this contest or prizes, or for entries that are stolen, misdirected, garbled, delayed by computer transmissions, lost, late, damaged, or postage due. TCF, Corp. dba Clay Hill Farm is not responsible for entries lost in the mail.

TCF, Corp. dba Clay Hill Farm is not responsible for any lost deposits or financial consequences incurred by the winners for accepting the prizes due to cancellations with other vendors.

TCF Corp. dba Clay Hill Farm assumes no liability for contest sponsors. Any client-sponsor disagreement is the sole responsibility of the sponsor to resolve. The contest sponsors are in no way legally partnered with TCF Corp dba Clay Hill Farm.

Data provided by the contestants and winners is for The TCF, Corp. dba Clay Hill Farm and the participating sponsors use only and will not be distributed or re-sold to other entities. Private information (address/phone and email) will not be disclosed or contained in any website postings or marketing communications

Contestants must be (21) twenty one years or older to participate in the contest

Only one entry per couple will be accepted

Odds of winning vary based on the number of entries and the discretion of the judges in evaluating the entries.

Past and present employees, officers, directors, agents and representatives of The TCF, Corp. dba Clay Hill and the participating sponsors, their immediate family members (parents, children, siblings, spouse and each of their respective spouses, regardless of where they live) and members of any of their households are not eligible to enter or be awarded a prize.  Void outside of the fifty United States and D.C., and where prohibited, taxed or restricted by law.  All federal, state and/or local laws, rules and regulations apply.

NO SUBSTITUTION or other consideration will be offered instead of the stated prizes.  All items won from this contest must be claimed within thirty (30) days of winning. GP winners must sign contract with participating vendors within 30 days to confirm their participation Winners are responsible for appropriate taxes and fees associated with the winning of ANY prize
Proper photo ID is required to claim any prize. If the prize is cash of more than $100 in value, social security identification, such as a social security card, passport, or paycheck stub, is ALSO required
A 1099 MISC form will be completed and filed with the IRS for every prize or accumulation of $600 or more. All local, state and federal taxes, license and fees are the sole responsibility of the winner. Prize winners will be required to sign a release. All winners agree to allow TCF, Corp. dba Clay Hill Farm and the participating sponsors to use their name, voice and/or likeness, portrait, and biographical information for promotional purposes without further compensation. By winning any items from The TCF, Corp. dba Clay Hill Farm and the participating sponsors, the winner and the user of the item(s) releases The TCF, Corp. dba Clay Hill Farm and the participating sponsors from any responsibility due to any incident related to the use of the item(s). Incidents include (but are not limited to) cancellation or alteration of event, expiration of item, bodily injury or death.
